What the law says about shift management in a supermarket 

Legislation aims to ensure that employees have the time they need to rest, achieving greater efficiency and avoiding the accumulation of working hours. Shift work is common in supermarkets, a concept defined in Spain by the Workers' Statute as follows: 

“Any form of work organisation in teams whereby workers successively occupy the same jobs, according to a certain continuous or discontinuous rhythm, requiring the worker to provide their services at different hours over a specified period of days or weeks.”

The law protects workers by setting out various measures that affect the shift management of supermarket staff:

  • The rest period between working days must be at least 12 hours. However, for shift workers, the Workers' Statute allows rest time to be reduced to seven hours, provided that the difference up to the 12 hours established by law is compensated in the following days. This is particularly applicable to shift management in supermarkets that are open 24 hours a day. 
  • Individuals with children under 12 may request to work a specific shift. The company may refuse if it does not consider this feasible. In that case, the worker may take the matter to court for a ruling. 
  • Pregnant or breastfeeding women are not required to work shifts if doing so could harm their health or that of the baby. 


If shift work harms employees' health, legislation establishes that the employee has the right to ask the company to adapt the work to their health needs.

What to consider for effective supermarket staff shift management

Recommendations for managing supermarket employee shifts 

This is an important part of the company's strategy. Doing it properly improves efficiency, productivity and employee satisfaction, resulting in greater customer loyalty, as customers are pleased with the service they receive. In addition, rest periods are essential to minimise the main occupational risks in a supermarket. 1. Analyse the workload

Today, technology makes it possible to collect an immense amount of data on consumer shopping flows and behaviour based on time slots and days of the week. It is also advisable to understand requirements relating to supply and cleaning times. 

This data is crucial for organising shift management in a supermarket. Determining the number of employees needed in each section at different times will help keep the supermarket stocked and staffed, ensuring customers can find what they need. 

2. Manage employee requests and personal circumstances

It is not always possible to satisfy every worker, but maintaining an open dialogue with each of them and understanding their preferences and personal needs demonstrates the company's interest and helps improve team well-being. In supermarkets with a large number of employees, this task will be the responsibility of the managers of each area. 

Information gathered on personal circumstances and requests is essential to establish a schedule and shift plan that takes each person's circumstances into account without compromising the establishment's service levels. To do so, it is important to maintain honest communication with every employee. Those who feel disadvantaged should understand why their preferences have not been respected. 

In this regard, it is advisable to base decisions on objective criteria such as a department's specific needs, years of service, or particular health and family-work balance situations. 

3. Have a plan B

Unexpected events are commonplace in any job. Illness, delays, various issues or sudden staff turnover are very real possibilities for which all supermarkets must be prepared.

Using the information gathered, establish alternatives to cover this type of unforeseen absence, always ensuring that this does not cause significant disruption to the personal lives of those affected.
